An investment firm in Manhattan is seeking an Executive Assistant/Personal Assistant to provide administrative support to a team of C-Suite executives. Support executives in a dynamic organization, managing complex calendars and travel arrangements. Enhance organizational efficiency with your administrative expertise and attention to detail.

Salary: 120k - 140k base plus bonus

Hybrid schedule: 4 days onsite, 1 day remote

Hours: 9am - 6pm

Responsibilities:

  • Support senior executives in a dynamic investment firm, ensuring seamless operations and effective communication.
  • Manage complex calendars, travel arrangements, and confidential information with precision and discretion.
  • Collaborate with internal teams and external stakeholders to coordinate meetings and events.
  • Prepare and edit professional correspondence, reports, and presentations for executive use.
  • Conduct research and compile data to support strategic decision-making processes.
  • Work in a fast-paced environment, demonstrating adaptability and problem-solving skills.
  • Contribute to the firm's success by ensuring efficient administrative support to executives.
  • Manage executive calendars, scheduling meetings, and resolving conflicts to optimize time management.
  • Coordinate travel arrangements, including booking flights, accommodations, and handling disruptions.
  • Prepare and review expense reports, ensuring compliance with company policies.
  • Draft and proofread professional documents, maintaining high standards of accuracy and clarity.
  • Facilitate communication between executives and internal/external stakeholders.
  • Assist in planning and executing business dinners and events.
  • Support project coordination by tracking progress and following up on action items.
  • Handle sensitive information with confidentiality and professionalism.

Requirements:

  • Bachelor’s degree strongly preferred, with proven experience as an executive assistant.
  • Minimum of 3 years of experience required; 7 years preferred.
  • Proficiency in Microsoft Office Suite and Outlook Calendar management.
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Excellent written and verbal communication abilities.
  • Experience in financial services, investment banking, or similar industries preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Polished and professional demeanor with exceptional attention to detail.
