Job Title: Administrative Assistant II
About the Role
We are seeking an experienced Administrative Assistant II to provide high-level clerical and administrative support to an upper-level manager and the broader department or region. This position is ideal for a detail-oriented, organized professional who thrives in a fast-paced environment and is committed to delivering exceptional service with discretion and efficiency.
Key Responsibilities
Provide administrative support to assigned manager(s), including scheduling, travel arrangements, meeting coordination, and maintaining calendars.
Perform general clerical duties such as filing, mailing, photocopying, typing, and handling confidential materials.
Maintain hard copy and electronic records, ensuring accuracy and accessibility.
Support departmental processes including time-off tracking, payroll data entry assistance, invoice coding, bid document preparation, and office supply management.
Coordinate with vendors, assist in recruitment efforts, and help plan coworker recognition/appreciation activities.
Ensure adherence to safety protocols and participate in required training programs.
Qualifications
High School diploma or equivalent required; minimum of 5 years of administrative experience (or 7 years related experience).
Strong written and verbal communication skills with the ability to prepare professional correspondence and reports.
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
Strong organizational skills with the ability to prioritize tasks effectively.
Ability to maintain confidentiality and handle sensitive information.
Strong customer service skills and a collaborative team-oriented mindset.
Additional Requirements
Occasional lifting of up to 25 lbs.
Ability to sit for extended periods while working at a computer.
Availability to respond to executive needs outside of standard working hours via cell phone or laptop.
Some travel may be required.
